IT & Professional Staffing Software.
Full front-to-back platform for IT, engineering, finance, and professional staffing — built for high-volume VMS programs, complex mixed workforces, and the firms that can’t afford back-office drag.
IT staffing has been under sustained margin pressure. The firms posting better numbers are not the ones with the longest feature list — they are the ones spending fewer hours on manual VMS reconciliation, fewer hours chasing timesheet approvals, and more hours in front of clients.
When your ATS, your CRM, and your billing engine share one data model, the operational overhead from a fragmented stack stops being a cost of doing business and starts being a visible competitive disadvantage.
Front Office: ATS, CRM, and Automated Journeys
1Staff’s applicant tracking runs natively on Dynamics 365 Sales. The candidate record, the job order, the client relationship, and the business development pipeline share one data model. No sync. No duplication. No candidate records that don’t reflect the latest client conversation.
Search, match, and job board posting
Resume parsing, multi-board job posting, and candidate search across the live database. Skills extracted from resumes are searchable against open job orders. LinkedIn integration in development for the direct hire and permanent placement pipeline.
Account-based sales automation
Client-side journeys run from the same automation infrastructure as candidate outreach. New job orders trigger targeted candidate pool notifications. Account expansion and renewal campaigns run against placement history and contract timelines.
Automated candidate journeys
Availability-date triggered outreach, skills-based re-engagement, and contract end-date campaigns run automatically from the platform. AI chatbot handles initial qualification and routing. Warm candidates surface before the competition reaches them.
Pipeline and margin intelligence
Sales pipeline, recruiter activity, margin by client, and job order fill rates all visible in real time — from the same environment as the placement record. No separate BI tool required for operational decisions.
“Within 8 months we had all 30 locations and 250+ recruiters operating on the fully integrated 1Staff solution.”
MSP Supplier Operations: Turning Assignments on a Dime
IT staffing firms operating inside managed programs know the reality: a client can restructure a programme, renegotiate rate cards, move VMS platforms, or expand scope across new business units at any point in a contract cycle. Workers need to keep working. Payroll cannot gap. Invoicing must reflect the new terms from the amendment date.
Assignment agility
1Staff’s assignment architecture supports mid-contract changes without requiring a worker to be offboarded and recreated. Rate amendments apply from a specified date. Billing rules update accordingly. The worker’s history and placement record are preserved, and the financial record splits cleanly at the amendment date.
Mixed workforce in a single environment
Professional staffing firms frequently manage contract IT alongside permanent placement, SOW project teams alongside individual contributor supply, and engineering staff alongside finance and accounting — often in the same client account. 1Staff handles mixed workforce models in a single Business Central environment. Different billing rules per placement type, different pay structures, different invoicing formats — without a separate system for each segment.
For firms managing both contract supply and fixed-fee project work in the same client account, this is the architectural question that determines whether the month-end financial picture is coherent or a reconciliation exercise.
Pay and Bill Rules Engine
IT contracts are rarely simple. Professional day billing where eight hours of work invoices as a full day. Weekly flat rates for senior consultants. OT on pay that doesn’t mirror the bill arrangement. Shift differentials for infrastructure support roles running 24/7. Not-to-exceed cap structures on T&M engagements.
1Staff’s rules engine processes pay and bill through independent pipelines. Configurable billing rule types cover regular, overtime, double-time, holiday, PTO, sick, bonus, and shift differential categories — calculated separately for pay and bill. The multiplier architecture separates hourly rates from OT factors, so the pay side and the bill side can run different multiplier logic against the same hours without manual intervention.
State compliance rules apply per assignment based on work location. For firms placing workers across multiple states — standard for national IT staffing operations — this runs in the background without requiring per-state manual configuration at the recruiter level.
Multi-level approval workflows are configurable by value threshold, client, job, or assignment level. Payroll and billing results can require sign-off before they post — enforcing controls without adding manual overhead.
14 billing rule configurations
Regular, OT, DT, holiday, PTO, sick, bonus, shift differential — all independently configurable for pay and bill.
Multi-level approval workflow
Configurable approval chains by value, client, job, or assignment. Email notification with one-click approval.
State compliance automation
California, Nevada, and Oregon rules applied automatically per assignment based on work location.
FLSA separation by design
VMS billing classifications and payroll calculations run through independent pipelines. Structural, not configured.
VMS Reconciliation: 1Staff Streams
Enterprise IT programs run through VMS platforms. The agency supplies into these systems, which means bill codes need mapping, VMS records need reconciliation against internal data, and program fee deductions need to come out of the right line before the invoice closes.
1Staff Streams handles VMS ingestion through a validation pipeline. Bill codes map to internal pay types. Duplicates and corrected resubmissions are detected via file hashing and record fingerprinting. Exceptions are grouped by type for batch resolution. Invoice batches are assembled from validated records. Pay rates always come from the assignment record — the VMS file classifies hours; it does not determine what the worker is paid.
Streams runs in validated mode (blocks on any discrepancy) or permissive mode (logs and continues, for high-volume environments where deferred resolution is the operational model). Both maintain a complete audit trail.
COMING SOON: Automated rate discrepancy detection and VMS receipt matching are in active development — the next layer of Streams capability, closing the gap between file ingestion and full cash reconciliation.
On the Roadmap: SOW and Milestone Billing
⚠ NEAR-TERM ROADMAP — NOT CURRENT CAPABILITY SOW and milestone billing are in active development as a Business Central extension. If your firm manages fixed-fee project engagements, milestone-based invoicing, deliverable acceptance gates, or retainage structures, speak to us about development timeline and fit.
SOW now represents a growing and significant proportion of IT and professional services spend. The billing model is structurally different from T&M — the invoice is triggered by a milestone, a deliverable acceptance, or a percentage completion, not by hours submitted. 1Staff is building this capability natively on Business Central: billing schedule management, six trigger types, billing disclosure generation, retainage tracking, change order management, and WIP-based revenue recognition.
The Platform
1Staff is a native part of the Microsoft architecture. Front office on Dynamics 365 Sales. Pay/bill and financials on Business Central. Power Platform connecting both. Microsoft Copilot available across the environment. One security model, one data layer, one audit trail.
